Location: In-office
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Compensation: $60,000–$70,000 annually (DOE)

About the Role

We are seeking a highly organized Office Administrator to support daily office operations and coordinate residential roofing projects from start to finish. This role serves as a key point of contact for customers, internal teams, subcontractors, and vendors, ensuring smooth scheduling, accurate documentation, and excellent customer service.

Key Responsibilities

  • Act as the primary customer contact for project updates, timelines, and inspections

  • Coordinate schedules with estimators, inspectors, subcontractors, and suppliers

  • Apply for, track, and manage residential permits and inspections

  • Maintain accurate project files, contracts, change orders, warranties, and certifications in the CRM

  • Create and send invoices; collect and process client payments

  • Manage shared email inboxes, phone calls, lead intake, and scheduling

  • Support subcontractor onboarding, COIs, licensing, and compliance tracking

  • Assist with estimates, EagleView reports, and sales scheduling

  • Manage office operations including mail, supplies, filing, inventory, and vendor accounts

  • Support vehicle maintenance, license renewals, and new employee device setup

Required Skills & Experience

  • 2+ years of experience in office administration, project coordination, or a similar role

  • Construction, roofing, or trades experience preferred

  • Strong organizational, multitasking, and time-management skills

  • Excellent written and verbal communication skills

  • Experience with CRMs, Microsoft Outlook, and office software

  • Comfortable handling invoices, payments, and financial documentation

  • Detail-oriented, dependable, and customer-focused
